CVSD E-Grants Information
CVSD E-Grants is a comprehensive web-based grant application and reporting system that allows grantees to complete grant applications, submit reports, and request grant amendments online. We anticipate that this system will provide for a more streamlined application and reporting process for both grantees and CVSD staff. In addition, the system will allow us to be mostly paperless, saving both natural resources and shipping costs.
The web address for CVSD E-Grants web portal is www.cvsdegrants.com.
The CVSD E-Grants Applicant User Guide walks applicants and grantees through many important features of the CVSD E-Grants system. This includes instructions on how to register in the system, add other people to your organization, and initiate and submit applications and reports. More information will be added to the User Guide as it becomes available, so please check for updates.
Applicants are also encouraged to contact the Agate Help Desk at 1-800-820-1890 or helpdesk@agatesoftware.com, or CVSD staff for assistance.
Frequently Asked Questions
CVSD E-Grants is a system to provide grantees with a comprehensive web-based grant application and reporting system. This allows grantees to apply for grants on-line as well as submit reports and request grant amendments.
CVSD started using this system with the 2010 VOCA Non-Competitive and Competitive applications followed by the CFAA/UA Application. Additional grant programs have now been added as follows:
-
Child Abuse Multidisciplinary Intervention (CAMI) MDT and Regional Service Provider (RSP) grant application - February 2011;
-
DV/SA Joint Application - February 2011;
-
VAWA Continuation grant application - March 2011.
In order to use the system, grantees need:
-
A computer running Windows 95 or higher, or a Mac OS 7.5 or higher running on a PowerPC processor.
-
A scanner.
-
Internet access. Dial-up internet will work, but may be slow. DSL or high speed internet is recommended.
-
Adobe Reader. This is a free program that most grantees will likely already have on their computers.
No other software is required to use CVSD E-Grants.
Applications and reporting are be different in several ways:
-
The entire application is completed and submitted on-line. Only documents requiring an original "blue ink" signature need to be printed, signed and uploaded.
-
Application modifications/revisions are requested by fund coordinators through the system, and applicants make modifications/revisions in their original application and submit them on-line.
-
All reporting (QFRs, narratives, statistics, CVSD Common Outcome Measures, Victims' Rights Outcome Measures, Karly's Law Reports) is completed on-line through the CVSD E-grants system.
For Domestic and Sexual Violence Programs:
-
CVSD is expecting to implement the ALICE Database for gathering statistical information and will be available to programs to start to use July 1, 2011.
-
DHS QFR's and FVPSA yearly reporting requirements will NOT be in this system. You will need to continue making these reports to DHS.
Grant applications have many of the same elements as the previous applications (i.e., project descriptions, staff rosters, budgets, goals and objectives, etc.). Reports require the same or similar information.
CVSD staff will conduct training as each grant transitions in to CVSD E-Grants. Grantees will be able to attend trainings that give them a general walk-through of E-Grants and teach them how to start, complete, and submit an application in E-Grants. During the beginning of the grant period further training will be provided, which will include how to start, complete, and submit reports and how to request amendments in E-Grants.
Initial registration for your organization will be completed by an Authorized Official for your organization. In most cases this will be the District Attorney for prosecutor-based victim assistance programs and the Board Chair for non-profit programs. It will take CVSD staff approximately 24 hours to approve the registration for the Authorized Official after that person has completed the registration form. Once CVSD staff has approved the registration the Authorized Official will receive a Notification of Access Approval e-mail. Once approved, the Authorized Official will have access to CVSD E-Grants and will be able to grant access to other organization members as appropriate. Instructions on how to register in CVSD E-Grants, how to add additional people to an organization, and information on the different roles in the system can be found in the CVSD E-Grants Applicant User Guide.
During the transition in to E-Grants existing grants will continuing their reporting to the CVSD Reports e-mail. Newer grant programs, such as the Sexual Assault Services Program (SASP) and the Interpersonal Violence (IPV) Pregnancy grant will not be included in the CVSD E-Grant process at this time.
